Check what free includes

Look beyond the download price: check how many estimates and invoices you can create and whether sharing or export requires a paid subscription. FieldSoli has no monthly invoice or estimate limit. You can create and share them alongside your job records without a paid subscription.

You can also request a CSV job summary without an active subscription. This is job-summary data, not a complete account backup. Current free access does not promise every future feature will be free.

Check how invoices fit your work

If you track visits, time, materials and expenses separately, consider whether keeping estimates and invoices with the job would simplify your records. FieldSoli keeps those records together. It records payment status but does not process payments from customers.

Start with the estimate.

An estimate describes the work you expect to do and the expected charge. Make the description specific enough to recognize the job: the location, task and items included. Note any assumptions that could change the amount, such as the materials needed or the extent of a repair.

Keep the estimate reference with the job. If the proposed work changes, record the revised scope and amount rather than relying on memory. An estimate is not a record of completed work or money received.

Check the invoice against the work.

An invoice lists the work or items you are requesting payment for. Before sharing it, check the customer details, job description, quantities and amounts. Compare it with the agreed scope and your notes about any changes.

Keep a clear reference so you can match the invoice to the right job later. If you revise a document, distinguish it from the earlier copy. Avoid treating both copies as separate amounts owed. Creating or sending the invoice is a document step, not proof of payment.

Update payment status from a payment record.

Check what actually arrived before marking a job paid. Note the amount, date and reference in your records so a later review does not depend on remembering a conversation.

If only part of the requested amount arrives, keep that distinction clear. For example, an invoice for $500 with $200 received leaves $300 outstanding, assuming there are no other adjustments. The job may be finished while payment remains incomplete.

Review three separate questions.

  • What was proposed? Check the estimate and any changes to the scope.
  • What was requested? Check the invoice and confirm you are looking at the current document.
  • What was received? Check the actual payment record and identify any amount still outstanding.

These questions help separate a change to the work from a change to the document or a payment still to come. You do not need a long note for each step; you need enough detail to understand why the figures differ.

Keep the documents with the job.

In FieldSoli, create estimates and invoices with customer details and job items, and track payment status alongside the work. Use the visits, costs and notes in the job record as context when reviewing your documents.

For the broader record, including hours and materials, read what to track for each handyman job. This guide is about keeping job information clear, not accounting, legal or tax requirements.
