FieldSoli Privacy Policy

FieldSoli™ is a product operated by Veltri Ventures LLC, an Illinois limited liability company ("FieldSoli," "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you use:

  • the FieldSoli mobile applications;
  • fieldsoli.com, including the FieldSoli waitlist;
  • account, support, privacy-request, and other communications with us; and
  • any other current FieldSoli service that links to this Privacy Policy.

We refer to these collectively as the Services. This Privacy Policy is intended for users in the United States.

Third-party websites and services have their own privacy practices. This Privacy Policy does not apply when you leave the Services or interact independently with a third party.

1. The Relationship Between FieldSoli, Users, and Their Customers

FieldSoli provides job-tracking and business-organizing tools for independent tradespeople and small operators.

In this Privacy Policy:

  • a User is an individual who creates or uses a FieldSoli account;
  • Customer Information means information a User enters about the User's own customer, worksite, or job; and
  • User Content means job records, Customer Information, notes, material and other job-cost entries, and other content a User enters into FieldSoli.

Users decide what Customer Information and User Content to enter. FieldSoli processes that information to provide the Services to the User. Users are responsible for having appropriate authority to provide information about their customers and worksites.

If you are a customer of a FieldSoli User and want to make a request concerning information that User entered about you, contact the User first. We may assist the User with the request where appropriate.

2. Information We Collect

We collect information you provide, information generated when you use the Services, and limited technical information collected by the systems that operate the Services.

A. Waitlist and marketing information

When you join the FieldSoli waitlist, we collect your:

  • first name and email address;
  • selected trades;
  • responses about whether you use business software, the tools you currently use to track work, and how you obtain jobs;
  • agreement to the applicable Privacy Policy and Terms of Service versions and the date and time of that agreement;
  • marketing-consent status; and
  • waitlist submission time and status.

We use this information to administer the waitlist, understand prospective users, and send early-access or product communications you agreed to receive. Our database and hosting providers process the submission for us. You can unsubscribe from marketing or ask us to remove your waitlist record as described in Section 10.

To protect the waitlist from abuse, our system derives a one-way keyed hash from the request's IP address. We use the hash, an hourly time window, and an attempt count to enforce submission limits. Rate-limit records become eligible for deletion after two days and are removed through subsequent cleanup. Our hosting and security providers may separately process IP addresses in technical logs for security, reliability, and service operation.

B. Account, profile, and authentication information

When you create and use an account, we collect:

  • your email address;
  • your first and last name;
  • your selected trade or trades;
  • your FieldSoli user identifier;
  • authentication and session information used to sign you in and keep your account secure; and
  • account and profile creation or update timestamps.

Supabase provides FieldSoli's authentication, database, and related cloud infrastructure and processes this information on our behalf. We use it to create, authenticate, secure, and administer your account and to associate your records with you.

C. Legal acceptance and privacy choices

We keep records showing whether and when you accepted the Privacy Policy and Terms of Service. These records may include the document type and version, acceptance date and time, acceptance source, app version, and device platform.

We also keep your in-app analytics choice and the time it was granted or withdrawn. The app stores limited copies of current acceptance and consent status on your device so it can apply your choices reliably.

We use these records to apply your choices, determine whether updated terms require your attention, and document compliance.

D. Customer, job, and work information

When you use FieldSoli to organize work, we collect the information you choose to enter, including:

  • job descriptions, customer names, and service addresses;
  • job status, payment status, revenue, record source, and whether you confirmed that no materials were used;
  • record creation, update, last-worked, completed, paid, and deletion timestamps;
  • live or manually entered work sessions, including their associated job, status, entry mode, start and end times, and the starting time zone for live sessions;
  • free-text notes associated with a job or work session or saved without an assignment in the Inbox;
  • material descriptions, quantities, units, unit costs, calculated total costs, and job or work-session associations; and
  • other job-cost descriptions, cost types (such as helper labor, equipment rental, permits, disposal, travel or parking, and other), quantities, units, unit costs, calculated total costs, and job or work-session associations.

When you search your jobs, the search text is sent to our database provider to filter your own job descriptions and customer names. We do not send the search text to product analytics; product analytics may receive only a bucket representing the search text's length.

We store and process this information to create, organize, retrieve, display, edit, and delete your records and to provide the job, Inbox, work-session, job-cost, and payment-status features you request.

E. Calculated information and insights

FieldSoli calculates information from the records you enter, including work duration, material and other job-cost totals, net earnings, net hourly rate, financial-completeness status, weekly, monthly, and yearly earnings summaries, outstanding payments, job rankings, recent-work groupings, and jobs that may need attention.

We use these calculations to provide the Services. They are business-organizing estimates based on the information you enter and are not bank-account, payment-card, or payment-processing information.

F. Optional in-app product analytics

In-app product analytics is disabled unless it is configured for the app and you affirmatively enable it. When enabled, PostHog processes product-usage information for us, which may include:

  • screen views and feature interactions;
  • FieldSoli user, anonymous, app-session, and record identifiers;
  • email domain and authentication provider after account identification;
  • app version, build number, platform, environment, and current screen;
  • record counts and statuses;
  • coarse ranges or buckets for money, quantity, duration, and text length; and
  • coarse error categories.

We use this information to understand how the app is used, diagnose problems, evaluate reliability, and improve usability. Under FieldSoli's production analytics configuration, PostHog does not receive note text, customer names, service addresses, job descriptions, material descriptions, full email addresses, or detailed error text.

You may withdraw analytics permission at any time in the app's Privacy Choices screen. Withdrawal stops new in-app analytics collection and clears the app's locally stored analytics identifier. It does not automatically erase information processed before withdrawal. You may request deletion of personal information as described in Section 10.

G. Website usage and technical information

FieldSoli uses Vercel to host the website and provide website traffic analytics. Vercel Web Analytics may process page or route visited, time of the visit, referring page or campaign, filtered query parameters, general browser, operating-system and device type, and coarse geographic information such as city, region, and country.

Vercel Web Analytics is designed not to retain a visitor's IP address as an analytics data point. Vercel may separately process IP addresses and other request information in hosting, security, and reliability logs.

We use website information to operate and secure the website, understand overall traffic, identify referral sources, diagnose problems, and improve website performance and content.

H. Communications

We collect the information you provide when you contact us for support, provide feedback, report a problem, or make a privacy request. This may include your contact information, the content of the communication, relevant account or record information, and any follow-up correspondence.

We use communications to respond, investigate and resolve issues, fulfill requests, secure the Services, and document our response where appropriate.

I. Job Summary export

When you use the in-app Export Job Summary control (Profile → Your data), we process information to create and deliver a CSV summary of your completed jobs for one calendar year you select.

The export may include job descriptions, customer names, service addresses, work and payment status, creation, last-worked, completed, and paid dates, revenue, job-cost totals by category, and net earnings. It does not include notes, work-session rows, photos, attachments, or a full account backup.

To fulfill your request, we:

  • query your completed jobs and associated job-cost records for the selected year and reporting time zone;
  • generate a CSV file and store it temporarily in a private Supabase Storage bucket;
  • email a secure download link to your verified account email address through Resend (the email contains a link only, not the CSV as an attachment); and
  • keep limited request metadata needed to generate, deliver, secure, and clean up the export.

Resend processes your account email address and the download link so it can deliver the notification. Resend does not receive the CSV contents.

The download link expires within 24 hours after the first email-delivery attempt begins. Depending on when the link expires, the private CSV file may remain stored until the next midnight UTC cleanup. After cleanup, we scrub recipient email, token, provider, and storage-path fields from the export request record and later purge scrubbed records. Account deletion revokes active export links and deletes associated export files from storage.

We use this information to provide the portability feature you request. You are responsible for storing downloaded exports securely because they may contain Customer Information and financial details.

J. Information FieldSoli does not currently collect through the mobile app

The current FieldSoli mobile app does not request or collect precise GPS location, contacts, calendars, camera or photo-library content, audio recordings, microphone data, email-inbox content, payment-card numbers, or bank-account credentials.

3. How We Use Information

In addition to the category-specific purposes described above, we use personal information to:

  • create, authenticate, maintain, and secure accounts;
  • provide job capture, live and manual work-session tracking, Inbox capture and assignment, material and other job-cost tracking, payment-status features, earnings insights, and Job Summary export;
  • store, organize, retrieve, display, and delete User Content;
  • operate the waitlist and send communications you requested or agreed to receive;
  • provide support and fulfill privacy requests;
  • maintain reliability, diagnose errors, measure performance, and improve usability;
  • detect, prevent, and investigate fraud, abuse, security incidents, and violations of our terms;
  • comply with law and legal process and protect our rights and the rights, safety, and property of others; and
  • create aggregated or deidentified service-usage statistics for product analytics and product improvement.

When we create aggregated or deidentified information, we take measures intended to prevent it from reasonably identifying a User, customer, or business, and we do not attempt to reidentify it. We do not use direct identifiers, exact service addresses, or free-text User Content as aggregated statistics. We may retain and use information that no longer reasonably identifies a person, customer, or business.

4. User Content

Users retain ownership of their User Content. We process User Content as needed to provide, maintain, secure, and support the Services as described in this Privacy Policy. Our Terms of Service contain the contractual terms governing User Content and the permission necessary for us to operate the Services.

FieldSoli does not use Customer Information to market to a User's customers. Do not enter information into FieldSoli unless you have the right to provide and use it for the intended purpose.

5. How We Disclose Information

We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising, and we do not use Customer Information to advertise to a User's customers.

We disclose personal information only in the following circumstances:

Service providers

Providers process information for us to perform specific functions. Current material providers include:

  • Supabase, for authentication, database hosting, file storage, backend functions, and related cloud infrastructure;
  • Vercel, for website hosting, operation, security, and website analytics;
  • PostHog, for optional in-app product analytics when it is configured and you have enabled analytics; and
  • Resend, for transactional email, including account and authentication messages and Job Summary export delivery notifications.

We also use providers for customer support and other operational functions. We provide these providers with information reasonably necessary to perform their services and require appropriate protection through contracts or other applicable safeguards.

Legal, safety, and enforcement reasons

We may disclose information when we reasonably believe disclosure is necessary to comply with law, regulation, legal process, or an enforceable government request; investigate or prevent fraud, abuse, or security incidents; enforce our agreements; or protect the rights, safety, property, security, or integrity of FieldSoli, our users, or others.

Professional advisers

We may disclose information to lawyers, accountants, insurers, auditors, and other professional advisers when reasonably necessary for their services and subject to appropriate duties of confidentiality.

Business transactions

We may disclose information in connection with a proposed or completed financing, merger, acquisition, reorganization, bankruptcy, sale of assets, or similar transaction. Any recipient's use of personal information remains subject to this Privacy Policy unless and until you receive notice of a change.

At your direction

We may disclose information to a recipient when you specifically direct or authorize us to do so.

6. Website Tracking Choices

FieldSoli does not currently use personal information for targeted advertising. Vercel Web Analytics provides aggregated website-usage measurement without advertising cookies. Our hosting and security systems may still use technical mechanisms necessary to deliver and protect the website.

Some browsers offer a "Do Not Track" setting. Because there is no uniform standard for interpreting that signal, the website does not currently respond to it as a separate privacy request. This does not change our practice of not selling personal information or sharing it for cross-context behavioral advertising.

7. Retention

We retain information for only as long as reasonably necessary for the purposes described in this Privacy Policy, subject to the following criteria:

  • Account and User Content: retained while your account is active and removed from active systems through the account-deletion process. Individual records removed through in-app controls may remain marked as deleted and associated with your account until account deletion or another applicable cleanup process.
  • Waitlist information: retained while needed to administer the waitlist and related communications, until you ask us to remove it, or until it is no longer reasonably needed for those purposes.
  • Legal acceptance and consent records: retained as reasonably necessary to document the policy, terms, and privacy choices that applied to an interaction.
  • Analytics and technical information: retained according to the applicable provider configuration and only while reasonably needed for analytics, security, diagnostics, or reliability.
  • Support and privacy-request records: retained while needed to resolve the matter, document our response, protect legal rights, or meet legal obligations.
  • Rate-limit records: eligible for deletion after two days and removed through subsequent cleanup.
  • Job Summary exports: private CSV files are deleted when the download link expires or through the next midnight UTC cleanup after expiry. Export request metadata is scrubbed after cleanup and purged after a limited period. Active export links and files are removed when you delete your account.
  • Aggregated or deidentified information: may be retained when it no longer reasonably identifies a person, customer, or business.

Information may remain for a limited period in backup copies until those backups are overwritten through the normal backup cycle. We may retain narrowly limited information longer when necessary to comply with law, maintain security, prevent fraud or abuse, resolve disputes, or enforce agreements. We limit retained information to the relevant purpose.

8. Account and Record Deletion

You can use available controls in the app to remove individual job records, sessions, notes, and material or other job-cost entries from active use and normal display. These records may remain marked as deleted and associated with your account as described in Section 7.

You can request account deletion through the in-app Delete account control or through fieldsoli.com/delete-account. If you cannot use either method, contact privacy@fieldsoli.com from the email address associated with your account.

We may verify that you control the account before completing an external request. We complete verified account deletion from active systems within 30 days. Account deletion removes the account and associated active-system User Content, revokes active Job Summary export links, and deletes associated export files from storage. When configured, we also request deletion of associated PostHog person and event data. Limited information and backup copies may remain temporarily as described in Section 7.

To delete a waitlist record, email privacy@fieldsoli.com from the address used to join the waitlist.

9. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. Depending on the system, these safeguards include encryption in transit, authentication, access controls, database authorization rules, and restrictions on administrative or provider access.

No method of transmission or storage is completely secure. You are responsible for protecting your credentials and should notify us promptly if you suspect unauthorized access to your account.

10. Your Privacy Choices and Rights

FieldSoli offers the following choices to all Users, subject to identity verification and lawful exceptions:

  • access to personal information associated with your account;
  • correction of inaccurate account or profile information;
  • removal of individual records from active use and deletion of your account;
  • export or portability of eligible information in a reasonably usable format;
  • withdrawal of optional in-app analytics consent;
  • withdrawal of marketing consent and removal of your waitlist record; and
  • appeal of a decision concerning a privacy request.

You can edit available profile and record information, withdraw analytics consent, request a Job Summary CSV export through Profile → Your data → Export Job Summary, or initiate account deletion through the app. For another request, email privacy@fieldsoli.com. We may verify your identity using information associated with your account or waitlist record before acting on a request.

An authorized agent may submit a request by contacting us and providing proof of authorization. If we deny a request, you may appeal by replying to our decision or emailing privacy@fieldsoli.com with Privacy Appeal in the subject line.

Residents of some states may have additional privacy rights. We will process applicable requests in accordance with the law that applies to the request. We will not unlawfully discriminate against you for exercising an applicable privacy right.

11. Marketing Communications

You can unsubscribe from promotional email using the unsubscribe method provided in the message or by contacting privacy@fieldsoli.com. We may continue to send necessary account, security, legal, privacy-request, or service communications while you have an active account or pending request.

12. Children

The Services are business software intended for adults aged 18 and older. They are not directed to children, and we do not knowingly permit children to create accounts or join the waitlist as Users.

If you believe a child has provided personal information to FieldSoli, contact privacy@fieldsoli.com. We will investigate and take appropriate action.

13. Changes to This Privacy Policy

We may update this Privacy Policy as our Services, practices, providers, or legal obligations change. We will post the updated policy with a new effective date and policy version.

If a change materially expands how we collect, use, disclose, or retain personal information, we will provide additional notice through email, an in-app message, or another conspicuous method. We will request renewed or feature-specific consent when required. We will not rely solely on continued use to apply a materially different use to previously collected information when additional notice or consent is required.
